By using our website and paying for a tour with Derailed Adventures you are agreeing to the following terms and conditions. 

Cancellation Policy

Cancellation by you:

If you or someone from your group needs to cancel their tour with Derailed Adventures, we require written notice as soon as possible. We can only initiate cancellation from the date upon which we receive a written confirmation. You may have to forfeit some of your payment due to costs we incur with bookings and tours. This amount is dependent on when we receive your written confirmation and the date of departure of the cancelled tour. The following outlines our cancellation policy: 

8+ weeks before departure - 100% refund

4-8 weeks before departure - 80% refund 

0-4 weeks before departure - 0% refund 

If notified soon enough we may be able to change the dates of your booking, based on availability. Please email us at info@derailedadventures.com for more information. Some charges may apply. 

Cancellation by Derailed Adventures: 

Derailed Adventures tours will run rain or shine, but the safety of our participants and staff is our number one priority. We reserve the right to cancel or alter any tours. In the event that Derailed Adventures needs to cancel a tour due to a situation out of our control, you will be allowed to transfer your booking to another Derailed Adventures tour or receive a full refund of the tour cost. 

Reasons a tour may be cancelled by Derailed Adventures include, but are not limited to, the following:

  • Extreme weather 

  • Closures restricting tour access

We will do our best to inform all tour participants at our earliest convenience of any cancellations or changes made to a tour. 

Waiver and Release of Liability 

Every participant on a Derailed Adventures tour is required to read, understand and sign a Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement electronically before the start of the tour. This is a legal document and cannot be amended before signing. After paying for a tour, you will receive a welcome package which includes a link to fill out the waiver. If you would like to view the waiver before making a booking, we will gladly send you a PDF version of the document.

Medical History Form

As part of signing up and partaking in a Derailed Adventures tour, you will be required to fill out a medical history form before the tour departure. This should be printed and carried with you on tour. It is a reference for medical services that can be passed on in the case of an emergency. This document must be completed as accurately as possible. Any medical conditions or injuries that are disclosed will not automatically deem you unfit or unable to join any of our tours. This document is for reference only. If you have any medical conditions or injuries that you are concerned about and are not sure if bikepacking is right for you, we strongly recommend speaking with your doctor before joining a tour. This document will be filed by Derailed Adventures for seven years (from signing) for legal security. If you want to view the medical history form before making a booking, we will gladly send you a PDF version of the document. 

Passport, Visas and Travel Insurance

If you are travelling from outside Canada, you will be responsible for ensuring your travel documents are valid and in your possession for the entire trip. Passports should be valid for a minimum of six months past the date of return. You will need to check and verify all passport, visa, vaccination, or other entry requirements are met and will be solely responsible for any consequences if any of these are incomplete. 

We understand that travel restrictions and requirements can be confusing and we may provide advice on visas, vaccinations, climate, clothing, baggage, and special equipment as a courtesy. This information may not be exact as travel restrictions and requirements change often and can vary from country to country. We are not responsible for any errors or omissions to the information provided. We do not accept any responsibility if you cannot travel, or incur any other loss because you have not complied with any passport, visa, immigration requirements or health formalities. If any fines or other losses occur to Derailed Adventures as a result of failure to comply with any entry requirements or health requirements, you agree to reimburse Derailed Adventures in full within a period of 90 days. 

We strongly recommend that all out-of-province participants purchase travel medical insurance so that they may be protected in the event of an accident or emergency that occurs while on tour. We also recommend you purchase trip cancellation and interruption insurance. 

In the event of an accident or injury on tour, our guides are trained and certified to provide emergency first aid in the wilderness and may need to initiate an evacuation via ambulance or helicopter. In this situation, Derailed Adventures is not liable for any costs incurred for your evacuation and medical attention. We strongly recommend all out-of-province participants acquire travel insurance to cover wilderness emergency medical evacuation and treatment.
